We are committed to handling personal information responsibly, transparently and securely.

Depending on the nature of our activities, some obligations under the Privacy Act 1988 (Cth) may not apply to our business. Where the Privacy Act applies, we will comply with it and the Australian Privacy Principles.

Where an exemption applies, we nevertheless aim to manage personal information in a manner generally consistent with accepted Australian privacy practices.

2. What personal information we collect

The personal information we collect will depend on how you interact with Event RSVP, the services being provided and the type of event for which you register, purchase a ticket, submit an RSVP or attend.

  • attend an event using Event RSVP registration or check-in services;
  • complete a survey, feedback form, prize draw or competition entry;

  • engage Event RSVP to provide ticketing, registration or event technology services.

We may also collect personal information from:

  • event organisers and hosts;
  • employers or corporate clients;
  • ticket purchasers and group-booking contacts;
  • table captains;
  • venues and event suppliers;
  • payment processors;
  • ticketing and event technology providers;
  • publicly available business or professional sources; and
  • other people or organisations involved in delivering the relevant event.

If you provide personal information about another person, you must have authority to provide it and should make that person aware of this Privacy Policy and any relevant event-specific privacy notice.

4. Why we collect and use personal information

We collect, hold, use and disclose personal information for purposes including:

  • processing ticket purchases, RSVPs and event registrations;
  • issuing tickets, confirmations, receipts and event communications;
  • managing attendee lists, check-in, seating, badges and event access;
  • delivering ticketing, registration, RSVP and event technology services;
  • supporting event organisers with registration and attendance management;
  • providing event organisers with attendance and event reporting;
  • managing event enquiries, customer service requests and complaints;
  • managing dietary, accessibility, venue and safety requirements;
  • communicating event changes, reminders and important attendee information;
  • managing speakers, sponsors, exhibitors, suppliers and event partners;
  • sending marketing communications where permitted by law;

  • managing payments, invoices, refunds, disputes and records;

If you do not provide information required for a ticket purchase, registration, RSVP or event service, we may not be able to process your booking, provide the requested service or properly accommodate your requirements.

5. Our relationship with event organisers

Event RSVP provides registration, ticketing, RSVP, communication, reporting and check-in services for events operated by Pink Caviar Projects Pty Ltd and for events operated by third-party event organisers.

Where Pink Caviar Projects Pty Ltd owns or operates the event, we may act as both the Event RSVP service provider and the event organiser.

Where Event RSVP is used for an event operated by a third-party event organiser, we may collect and handle personal information on that event organiser’s behalf.

The event organiser may determine:

  • what information is requested during registration;
  • why the information is required;
  • who may attend the event;
  • what event communications are sent;
  • whether an attendee directory or networking platform is used;
  • whether sponsor or partner consent is requested; and
  • how attendee information is used following the event.

Personal information submitted through an Event RSVP event page may be made available to the relevant event organiser for purposes connected with the event. These purposes may include:

  • attendee and guest management;
  • ticketing and event access;
  • communications and reminders;
  • catering and dietary management;
  • seating and table allocation;
  • safety and accessibility arrangements;
  • attendance reporting;
  • event evaluation; and
  • post-event communications where permitted by law.

The event organiser may have its own privacy policy, collection notice, ticketing terms or marketing consent request. You should review the information provided on the relevant event page.

Event organisers are responsible for their independent handling of personal information after they receive or access it. Event RSVP is not responsible for an event organiser’s acts or practices that are outside our reasonable control.

6. Ticketing and payment information

Event RSVP may use third-party payment processors or ticketing providers to process ticket purchases and registrations.

We may receive:

  • payment confirmation;
  • transaction details;
  • ticket-order information;
  • billing information;
  • payment status;
  • refund records; and
  • related transaction information.

We do not collect or store complete payment-card details on our own systems. Card payments are processed by the relevant payment provider.

The payment provider may collect information directly from you and handle it in accordance with its own privacy policy and security practices.

7. Event communications and marketing

7.1 Event administration communications

Event RSVP or the relevant event organiser may send you communications reasonably necessary to administer your ticket, RSVP, registration or attendance.

These communications may include:

  • registration and ticket confirmations;
  • payment receipts and tax invoices;
  • event reminders;
  • venue and entry information;
  • check-in instructions;
  • program or timing updates;
  • changes, postponements or cancellations;
  • accessibility or safety information;
  • post-event service information; and
  • other administrative communications connected with the event.

These communications may be sent even where you have not agreed to receive general marketing, provided they are reasonably necessary for the event or service you requested.

7.2 Event RSVP and Pink Caviar marketing

We may send you marketing communications about Event RSVP, Pink Caviar Events, upcoming events, event services, ticketing services, event content, offers and related opportunities where:

  • you have consented to receive them; or
  • we are otherwise permitted to do so by law.

We generally request marketing consent through a separate and optional selection during registration, ticket purchase, enquiry or subscription.

Purchasing a ticket, submitting an RSVP, registering for an event or making an enquiry does not automatically subscribe you to Event RSVP or Pink Caviar Events marketing.

We will not add attendees from a third-party client event to Event RSVP or Pink Caviar Events marketing lists merely because they registered for or attended that event.

Where an event organiser requests consent for its own marketing, the consent wording should identify the relevant event organiser. The event organiser is responsible for its independent marketing communications and use of that consent.

Commercial electronic messages sent by or through Event RSVP will identify the business or organisation that authorised the message, provide valid contact information and include a straightforward means of unsubscribing where required by law.

You may unsubscribe by:

We will action unsubscribe requests relating to our own marketing within five working days or within any other period required by law.

Where a marketing message was authorised by a third-party event organiser, you may also need to contact that organiser or use the unsubscribe facility provided in its communication.

We may retain limited information on a suppression list to ensure that an unsubscribe request continues to be respected.

8. Sponsors, exhibitors and event partners

Some events may involve sponsors, exhibitors or event partners.

We will not provide your email address, telephone number or other direct contact details to a sponsor, exhibitor or event partner for that organisation’s independent sales or marketing purposes unless:

  • you have agreed to the disclosure through a clear consent choice presented during registration or ticket purchase;
  • you have directly provided your details to that organisation, including by scanning your badge, completing its form, entering its competition or requesting information;
  • the relevant event organiser has instructed us to make the disclosure and has confirmed that the disclosure is appropriately authorised;
  • you have otherwise authorised the disclosure; or
  • the disclosure is required or permitted by law.

Where consent is requested, the registration form or event notice should explain:

  • the categories of information that may be shared;
  • the types of organisations that may receive it; and
  • the purpose for which the information will be used.

Agreeing to independent sponsor or partner marketing is optional and is not a condition of purchasing a ticket or attending an event, unless an event-specific notice clearly states otherwise and the arrangement is permitted by law.

You may withdraw consent to future disclosures by contacting Event RSVP or the relevant event organiser.

Withdrawal will apply to disclosures made after the request has been processed. If information has already been disclosed to a sponsor or event partner, you may also need to contact that organisation directly regarding its continued use of the information or to unsubscribe from its communications.

9. Cookies, analytics and online tracking

The Event RSVP website and Event RSVP event pages may use cookies, pixels, analytics tools and similar technologies to:

  • operate and secure website and registration functions;
  • remember preferences;
  • understand visitor behaviour;
  • measure ticketing and registration performance;
  • improve our website and services;
  • personalise content; and
  • support advertising or remarketing.

These technologies may be provided by services such as Google, Meta, LinkedIn, payment providers, email platforms, ticketing platforms and other digital service providers.

Event organisers may also use their own analytics, advertising or tracking technologies on event pages or linked websites.

You can adjust your browser settings to block or delete cookies. Some website or registration features may not function properly if cookies are disabled.

10. Photography, filming and event media

Some events using Event RSVP may involve photography, filming, audio recording, livestreaming or other content capture.

The relevant event organiser is generally responsible for determining whether photography or recording will occur and how event images and recordings will be used.

Where Pink Caviar Projects Pty Ltd operates the event, photographs, video, audio and event recordings may be used for:

  • event documentation and reporting;
  • Event RSVP and Pink Caviar Events websites;
  • social media and digital content;
  • editorial, media and public relations activities;
  • marketing and promotion of current and future events;
  • advertising and promotional materials; and
  • internal and archival purposes.

The relevant event organiser should take reasonable steps to notify attendees that photography or recording will occur. Notice may be provided through registration information, ticketing terms, event communications, venue signage or onsite announcements.

If you do not wish to be intentionally photographed or filmed, please contact the relevant event organiser before the event or notify the event team when you arrive.

Where practicable, the event organiser may provide an identifying lanyard, wristband or other means of notifying authorised photographers and videographers of your preference.

Reasonable steps may be taken to accommodate your request. However, because events are commonly held in shared spaces, it may not be possible to prevent incidental appearance in wide-angle photographs, crowd footage, background images or recordings of speakers and event activities.

Additional consent may be requested for a featured portrait, individual interview, testimonial, endorsement or other dedicated promotional content.

Media representatives, sponsors, exhibitors and attendees may independently capture images or recordings. Event RSVP is not responsible for independent content captured or published by third parties outside our reasonable control.

11. Who we may disclose personal information to

We may disclose personal information, where reasonably necessary, to:

  • the relevant event organiser, client, host or corporate customer;
  • ticket purchasers, group-booking contacts or table captains where appropriate;
  • ticketing, registration and RSVP providers;
  • payment processors and financial service providers;
  • website hosting, cloud storage, cybersecurity and IT providers;
  • email marketing, CRM and communication providers;
  • analytics, advertising and social media platforms;
  • venues, caterers, security providers and event suppliers;
  • event staff, check-in staff and registration teams;
  • badge-printing and event technology providers;
  • speakers, sponsors, exhibitors and event partners where reasonably necessary for event delivery or authorised in accordance with Section 8;
  • photographers, videographers, production teams and livestream providers;
  • accountants, insurers, lawyers and professional advisers;
  • government, regulatory, law-enforcement, health, safety or emergency authorities where required or permitted by law; and
  • a party involved in a proposed or completed sale, merger, restructure or transfer of all or part of our business, subject to appropriate legal and confidentiality requirements.

We do not sell or disclose personal information as a standalone product.

Attendee contact information is only disclosed to sponsors, exhibitors or event partners for their independent marketing where the attendee has authorised that disclosure or another lawful basis applies, as described in Section 8.

12. Overseas storage and disclosure

Some technology, cloud, ticketing, payment, email, analytics, advertising and service providers may store, access or process personal information outside Australia.

Depending on the providers used, overseas locations may include:

  • the United States;
  • the United Kingdom;
  • New Zealand;
  • Singapore;
  • countries in the European Economic Area; and
  • other jurisdictions in which those providers or their subcontractors operate.

Where required by applicable law, we will take reasonable steps to ensure overseas disclosures are handled appropriately and in accordance with Australian privacy requirements.

Technology providers, infrastructure and data locations may change over time.

13. Security of personal information

We take reasonable administrative, technical and physical steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure.

These steps may include:

  • access controls and password protection;
  • multi-factor authentication where available;
  • limiting access to staff and suppliers who require the information;

Where a suspected breach relates to information held on behalf of an event organiser, we may work with that organiser to investigate and respond to the incident.

15. Data retention

We retain personal information for as long as reasonably necessary for:

  • ticketing, registration and event delivery;
  • providing services to event organisers;
  • customer service and complaint handling;
  • attendance and transaction records;
  • reporting and analytics;
  • accounting, taxation and insurance;
  • legal and contractual obligations;
  • fraud prevention and dispute resolution; and
  • marketing where consent remains current or marketing is otherwise permitted.

Where we hold information on behalf of an event organiser, the applicable retention period may also depend on our agreement with that organiser and its lawful instructions.

An event organiser may independently retain personal information it has received or accessed through Event RSVP.

When personal information is no longer reasonably required, we will take reasonable steps to delete, destroy or de-identify it, unless continued retention is required or permitted by law.

We may retain limited contact information on a suppression list to ensure that unsubscribe requests continue to be respected.

16. Access and correction

You may request access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.

We may need to verify your identity before providing access or making a correction.

Where information is held on behalf of a third-party event organiser, we may consult with or refer your request to that organiser. We will let you know where this occurs.

In some circumstances, access or correction may be refused or limited where permitted by law. Where appropriate, we will explain the reason for the decision and available complaint options.

17. Privacy and marketing complaints

If you have a concern about how we have handled your personal information or marketing preferences, please contact us at info@pinkcaviar.com.au with:

  • your name and contact details;
  • the event or registration concerned;
  • details of your concern;
  • relevant dates and communications; and
  • the outcome you are seeking.

We will acknowledge and investigate the complaint and aim to provide a substantive response within 30 days. If we require additional time, we will let you know.

Where the complaint concerns the independent conduct of a third-party event organiser, sponsor or event partner, we may refer you to that organisation or work with it to investigate the matter.

If you are not satisfied with our response and the Privacy Act applies, you may be able to complain to the Office of the Australian Information Commissioner.

Complaints relating to commercial electronic messages or unsubscribe requests may also be made to the Australian Communications and Media Authority.

18. Third-party websites and event pages

Event RSVP event pages and communications may include links to:

  • event organiser websites;
  • payment platforms;
  • venues;
  • sponsors and exhibitors;
  • social media platforms; and
  • other external websites or resources.

We are not responsible for the privacy, security or content practices of third-party websites or services.

You should review the privacy policy and terms of any third-party website before providing personal information.

19. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our activities, services, technology, service providers or legal obligations.

The current version will be published on the Event RSVP website with the updated effective date.

An update to this Privacy Policy does not, by itself, authorise us to use personal information already collected for a materially different purpose.

Where required, we will seek additional consent or rely on another lawful basis before doing so.
